Reviewing Trainees' Work

How a trainee's encounters and discharges reach the Supervisor, and how the Supervisor reviews them

Belongs toThe encounter or the discharge

The trainee files

  1. Fill in the encounter as usual (Encounters).
  2. In the Supervision section choose your Supervisor. With one Supervisor it is already chosen.
  3. Click Save. The encounter is marked <S> and shows in the Supervisor's Waiting for my review.

Saving it again (after a change) sends it back to the Supervisor with <S>. A trainee's discharge also waits for the Supervisor (Discharge).

The Supervisor reviews

  1. Open the Supervision screen and click a line of Waiting for my review.
  2. Choose View Encounter or Edit Encounter. Opening it marks it reviewed: the <S> goes away and the review is written in the audit trail.
  3. To add your comments, use Edit Encounter and write in Supervisor Addendum, then Save.
  4. For a discharge choose Discharge: Enter/Edit, write the Supervisor Addendum and tick Close the Episode of Care.

PsyTrace checks

  • A trainee cannot save without choosing a Supervisor ("Please choose your Supervisor.").
  • The Supervisor must be an active Supervisor of the encounter's provider.
  • Only the encounter's Supervisor can write or change the Supervisor Addendum; others see it read-only.
  • A System user who opens a trainee's encounter (not their own) also marks it reviewed.

Supervisors with a Supervisor. A Supervisor who is also supervised may choose (no supervision) for an encounter that does not need review.
