New Client Checklist

What must be on file before a clinician can enter the first encounter

  1. Registration

Client › New → Save. See New Client Registration.

  2. Insurance opens by itself

The New Insurance form opens as soon as the registration is saved. See Insurance.

If your Service/Department does not bill insurance, PsyTrace files a stub insurance by itself ("N/A") and goes on to the Episode.

  3. Episode of Care opens by itself

The New Episode form opens once the client has an active insurance. See Episodes of Care.

  4. Authorization opens by itself

The New Authorization form opens once the Episode is saved — even when your clinic does not need authorizations, there must be one (see Authorizations).

  5. Diagnosis (Clinician)

The clinician enters at least one diagnosis on the Clinician screen. Then encounters can be entered.

Stopping in the middle. If you click Discard in one of these forms, the sequence stops there. Nothing is lost: finish later from the Clerk screen — for example click the Episodes list › New Episode.
