Sample Enterprise Scenario: Healthy Mothers Healthy Babies

Assume the parent Organization (HMHB) wants to create one integrated database for all 50 states. The central office is the Organization (HMHB) and fifty Agencies are the states: Alabama HMHB, Arkansas HMHB, etc. Each state has a number of Facilities (counties): Honolulu County, Maui County, etc. Each Facility has a number of Departments (Services): Honolulu, Windward Oahu, North Shore, etc. Each Department has a number of Locations: Downtown, Kalihi, etc. Finally, each Location has a number of providers.

In the above scenario, there are users at different levels that need to see/be able to manipulate data appropriate to their function. For example, the person in charge of the entire HMHB organization would want to see reports like the one shown below.

AlabamaEncounters, year 2004: 420,506
ArkansasEncounters, year 2004: 253,435
……
Total HMHBEncounters, year 2004: 673,941

Given the same scenario, the person in charge of (the state of) Hawaii HMHB would only have an indirect interest in the above report. The chief of Hawaii HMHB would likely be more interested in a report like the following.

Honolulu CountyEncounters, year 2004: 93,435
Kauai CountyEncounters, year 2004: 27,130
Maui CountyEncounters, year 2004: 23,213
……
Total StateEncounters, year 2004: 153,435

On the other hand, the person in charge of Maui HMHB would be interested in a report like the following.

Kahului OfficeEncounters, year 2004: 10,405
Molokai OfficeEncounters, year 2004: 1,125
……
Total Maui CountyEncounters, year 2004: 30,356

Finally, the head of the Kahului Office would likely be interested in reports like the following.

John Smith, Ph.D.Encounters, year 2004: 3,130
Tony Rossi, Ph.D.Encounters, year 2004: 1,130
……
Total VisitsEncounters, year 2004: 13,435

PsyTrace can accommodate the needs of the above sample enterprise (HMHB) as follows.

  1. One database is placed on a central server. The server will be the database server for all HMHBs in all 50 States.
  2. One user is given system level access and allowed to define the Organization, Agencies (states), Facilities (counties), Departments, Locations, and users.
  3. The System level user is also allowed to indicate which users have permission to log into which Facilities/Service Departments (some users may be allowed to provide services in more than one facility).
  4. The capture of data by Service/Facility/Agency/Organization allows for the generation of reports like the ones shown above. PsyTrace provides a number of reports pre-defined. For example, the Facility and Service chiefs can obtain a graph of Encounters per month with a few clicks of the mouse. The Agency chief can obtain the same graph for all facilities with a few clicks of the mouse. The user given access to the financial menu can see the same reports with dollar amounts clearly displayed, as well as generate insurance billing from the data.
  5. The IT expert is given access to the SQL Server database to generate any reports not provided.

PsyTrace has the flexibility to allow for the alternatives to the scenario presented and can be configured to provide the best solution for the customer. Our company will be happy to discuss how to best configure PsyTrace to suit the needs of your organization.
