About
PsyTrace helps an organization track Budgets, Accounts, and the expenses of each account. A research organization can open one account per grant; a state, county or city office can have accounts for salaries, contracts, and so on. It works like a checking account for each grant or budget: how much is left is always one click away.
| List | What it holds |
| Budgets | A budget with its dates (e.g. one per year). Its form shows Deposits − Allocated − Disbursed = Remaining. |
| Budget Deposits | Money received for the budget, from a Funding Source. |
| Funding Sources | Who gives the money. |
| Accounts | The known expenses of the budget (e.g. contractor therapists). |
| Account Deposits | Money allocated from the budget to an account. |
| Disbursements | Unexpected expenses paid from the budget: date, amount, check number, vendor invoice, who authorized and mailed it. |
A new year
Make the new Budget, then use : choose the budget to copy from; the accounts are copied with amount 0 and the new budget's dates.
PsyTrace checks
- Deposits and disbursements are never edited: View, or Delete (marked deleted, the amount taken back off).
- It asks before allocating or spending more than the budget has left, and before a negative deposit (a correction?).
- A Budget or Account needs a name, and its end date after its begin date.
